Personal Assistant to General Manager
As a personal assistant (PA) you will report to the General Manager, you will provide secretarial and administrative support. The job is highly demanding and extremely challenging.
Main duties & responsibilities:
Preparation of correspondence, maintain efficient and accurate filing systems, electronic and paper files. Ensure timely follow ups and feedback;
Take and re-direct telephone calls for the General Manager where appropriate;
Assisting the General Manger in planning and implementing projects towards achieving goals and missions of the company;
Organize appointments, meetings and conferences arranging travel itineraries;
Attending internal and external meetings, preparing agenda’s, taking, typing and distributing minutes and follow up as appropriate, ensuring deadlines are adhered to.
Effective communication: Communicates clearly and in an appropriate manner (both verbally and non-verbally) that positively impacts on their role, the business and Belmond. Uses and interprets non-verbal behaviours to enhance understanding.
Emotional intelligence: Shows the ability to be aware of control and express ones emotions and to handle interpersonal relationships. Demonstrates sensitivity to the needs and emotions of others and adjust ones style to the needs of the audience.
Collaboration: Exhibits the ability to successfully work together united within a group whilst showing respect and willing to share information and skills. Is willing to continuously develop him/ herself.
Drive results: Demonstrates pride in delivering exceptional and consistent high levels of service to internal and external customers by anticipating and exceeding their expectations. Demonstrate a sense of urgency and take ownership of ones tasks and responsibilities.
Adaptability: Accept change and participate in new programs and processes. Is willing to learn new skills and keep up to date with developments in the department. Identifies when a different approach is needed an offers a solution. Deals with multiple tasks and alters behaviour / priorities as changes occur and remains calm in pressurised situations.

Professional experience in the same role;
Fluent in English and Italian. A third language is required, preferably French;
Knowledge of the Microsoft Office package (Word, Excel, PowerPoint, Publisher);
Attention to detail in terms of content and accuracy;
Possess excellent organizational skills and have an extremely high standard of order;
Maintain the strictest confidentiality at all times with regard to client, guest and personnel related matters.
