The Reservation Coordinator has the main responsibility of analyzing all guest and travel agent requirements through telephone and emails and recommend suitable options for all customers and assist to confirm all reservations.
Have a thorough knowledge of the entire hotel services and facilities
Answer inquiries of room rates, outlets and room locations.
To be totally familiar with all aspects of the reservation systems
Handle all reservation requests using good listening and communication skills to secure information necessary to complete a reservation
Post advance deposits and keep accurate records of deposits.
Process rooming lists and group blocks and indicate special requests and billing procedures
File and process reservations correspondence, make certain all files are current and in order.
Have knowledge of Front desk, Sales and Accounts departments and how they relate to the Reservations department.
Accommodate and document special requests in an accurate and efficient manner.
Explain guarantee and cancellation policies to callers.
Describe room accommodations and benefit feature sale amenities to guests.
Use sales techniques when assisting guests in making reservations,
Answer guest questions about property facilities/services
Assign confirmation/cancellation numbers and clearly relay this information to callers, giving them the option of emailing and/or faxing these numbers.
Follow “up selling” techniques and sales strategies in order to maximize property revenue.
Preparation and evaluation of statistics
Groups Reservations:
Planning and organisation as well as preparation of offers and contracts for group reservations
Follow-up meetings and documentation of corresponding activities
Preparation of function sheets
Communication between departments to ensure smooth operations
Carrying out site inspections
Supporting clients after their stay
Invoice control after conclusion of the contract
1-2 years’ experience in a Reservation Agent role
English Language proficiency/preferably German or French speaking candidates
Ability to work and communicate in a multinational environment
Able to work in a fast paced environment and can multitask
Ability to remain calm and composed under pressure
Communicates and writes with fluency in English
Enjoys crafting best-fit solutions for guests
Has a can-do attitude
Flexible in terms of scheduling
Applies a professional, confidential and ethical approach at all times
Previous experience in tourism industry is necessary
