JOB TITLE: Assistant Financial Controller / Assistant Director of Finance & Accounting
DEPARTMENT: Finance & Accounting
REPORTS TO: Director of Finance & Accounting

REQUIRED SKILLS: Strong Microsoft Excel skills required. Good experience with the Opera /Micros PMS; ERP Navision or Business central preferable
Master’s degree or short degree or Tourism Specialist School and/or Master in Hospitality Management / Business Administration
Italian– excellent oral and written skills
Good knowledge of English (C1/C2)
5 or more years in accounting and finance department
1 or 2 years’ experience in the same position

NATIONALITY: Eligible for a working permit in Italy

COMPETENCIES:
-Ability to handle high volume with attention to detail
-Excellent written and verbal communication skills
-An ability to establish and retain effective working relationships with hotel staff and clients/vendors
-Excellent organizational and time management skills
-Applies a professional, confidential and ethical approach at all times
-Works in a safe, prudent and organized manner

TECHNICAL COMPETENCIES:
Computer literacy adapted to the field of training:
-Ability to operate computer and office equipment
-Proficiency in Excel and Word
-Experience in respective accounting software is a plus
-Knowledge of the generally accepted accounting principles, PCI DSS and local regulations
-Experience in reporting, forecasting and budgeting

SCOPE
The overall scope of this role is to be able to perform all duties assigned by the Controller and to be able to carry out the function so the Controller during his/her absence.

OVERALL OBJECTIVES
To safeguard the financial integrity and stability of the hotel and minimize any exposure to potential risks. To assist the Controller in the administration of all financial aspects and ensure all local and corporate policies and procedures are followed.

The job of Assistant Financial Controller is executed satisfactorily when:

1. Daily accounting tasks are performed and all reports are prepared and distributed on time.
2. Accounting staff is motivated and fully trained in all their duties and responsibilities.
3. All legal and corporate requirements and regulations are met.
4. Books are closed monthly in a timely and accurate manner.
5. Tax calculation and reporting is accurate and on time.

The Assistant Financial Controller / Assistant Director of Finance fulfils their role as a Talent Development Ambassador when:

1. They actively support and implement Talent Development initiatives as a part of their daily activities.

2. They identify Training talents in their department and throughout the hotels as per below definition* and actively support their career development.

3. They support and initiate transfer, cross exposure and task force assignments for their team.

4. They personally conduct TTTTs with their team on a regular basis and take personal interest for their talents’ development plans.

5. They recruit and select potential talent according to the Company’s current and future hotel, regional and worldwide needs including conducting interviews for positions in their department and their region.

*A Hotel Talent is an employee, who has the ability to do the current job in their hotel and can be promoted to the next level. Mobility is what makes this person a Kempinski Talent.

MAIN RESPONSIBILITIES

i. Responsible for following and understanding all Kempinski Policies & Procedures.
ii. Responsible for behaving in a professional and harmonious manner and following the Kempinski code of conduct.
iii. Responsible for understanding and having a working knowledge of all areas in accounting and being able to assist or cover a position if needed.
iv. Responsible for ensuring that local legislation and procedures are followed.
v. Responsible for preparing journal entries and balance sheet reconciliations during month-end closing.
vi. Responsible for ensuring that all journal entries are accurate and have been signed off before posting.
vii. Responsible for ensuring that all balance sheet accounts are in good order and up to date.
viii. Responsible for preparing or overseeing the preparation of all tax returns.
ix. Responsible for ensuring that all fees are calculated accurately and comply with the Management Agreements.
x. Responsible for assisting the Controller with forecasting and budgeting.
xi. Responsible for performing any controller tasks during his absence.
xii. Responsible for hiring, motivating, counseling, coaching, evaluating, scheduling, etc, of the Accounting staff.
xiii. Responsible for assisting department heads with making relevant and accurate decisions on financial matters.
xiv. Responsible for continuously looking for improvements and ways to enhance efficiencies.
xv. Responsible for performing any additional duties assigned by the controller and assisting in all areas of Finance as needed.
xvi. Responsible for communicating with the controller on any discrepancies or other potential problems.
xvii. Additional responsibilities and tasks can be added at any time according to the needs of the business and of the hotel.
